Taking orders/Signing up distributors

It is not permitted to directly sell any products at the Fair, please ensure that you are familiar with the terms and conditions for exhibiting set by the fair organiser Messe.
 
Exhibitors should be cautious in signing a distribution agreement on the spot. Austrade recommends that you use Medica to develop leads and talk to as many potential partners and distributors as possible. 

During and after the exhibition you can work with Austrade to obtain background reports on your prospects, then follow up with them either on this or a subsequent visit to the market. Bear in mind that Medica attracts professionals and distributors from all over the world, and that Austrade has over 100 offices worldwide to help you qualify your leads.

Lead retrieval

Exhibitors should start to plan a lead retrieval system. Each exhibitor will receive hundreds of enquiries during an exhibition, so it is important that you have a system in place before the exhibition starts. Having a lead retrieval system ready before the exhibition will improve the business outcomes from your participation.

A very simple system is the Lead Retrieval Form (pdf), which you can download and take with you. This form has been developed by Austrade but can be easily replicated or modified to suit different companies. A business card is simply stapled or attached to a form and comments about the enquiry are noted down on the page. This might include what you promised to send them after the event, or how you rated them as a contact for follow-up (maybe on a scale of 1 and 5).

Austrade Health & Medical B2B Portal

Austrade has listed all exhibitors on the Austrade Health Portal. Visitors will be able to view your profile and request an introduction. 

This service will:

  • Notify you when an overseas company requests a meeting with you so that you can accept/decline the meeting.
  • Provide you with background information on the overseas company.
  • Allow you to re-schedule a meeting that clashes with another appointment or activity in real time.

Free company and product website description

The Medica website provides exhibitors the opportunity to present their business with a catchy headline, short company profile, company logo image and image of your products.

All registered exhibitors should be able to view their profile on the website now (look under ‘Exhibitors and Products07’ in the left menu bar). If your company profile does not appear, please contact Christina Murphy ASAP.

Through the Medica website you can also access the below online services:

  • Publish your Stand Activities in the Medica-Portal during the fair. A list of all exhibitors' events will be distributed in the halls. Visitors have access to terminals where they can print out information about events which interest them.
  • MyNews is your personal news folder, presenting all the news of your special interests.
  • Newsletter Service is where you receive your latest personalised information and news in the categories you are really interested in.
  • Medica Organiser is a personal organiser that allows you to collect, store and arrange your selected data according to your needs. Get qualified information on exhibitor profiles including product range and news. Requests for information (RFI) or requests for proposals (RFP) can be sent in one quick email.
  • Palm Download can download exhibitor and product databases and floor plans at Medica Trade Show.
  • Email Archive allows you to view the history of your sent emails for follow-up purposes.

Austrade’s pre-event marketing

Austrade will conduct a targeted promotional campaign in various countries to attract visitors to the stand. Some key components include pre-show marketing to key customers, promotion of the Austrade Health Portal, on-site business introductions between Australian exhibitors and international buyers, and networking events.

A brochure containing the company and product information of each exhibitor will be produced and distributed to visitors calling at the Innovation Australia Stand at Medica. The brochure will also be mailed to key contacts before the exhibition. Austrade will promote the Australia Stand at Medica to potential business partners and customers in Europe via email, publication in newsletters and on websites of allies in the health and medical sectors, inviting customers to view our website and to visit the Australian stand during the show.

Please note that this service is delivered as a bulk service to all participants and we cannot guarantee any number of pre-arranged meetings.

Austrade Support Services on the Australia Stand

The Australia Stand will be staffed to enable company representatives to attend meetings, sessions, and to network with international participants. Staff will assist with messages, appointments, and distribution of company information at the stand.

Business Development Managers from various Austrade offices in Europe (and beyond) will also attend the exhibition and will provide assistance to all exhibitors, including:

  • Pre-event invitations to potential business partners attending and visiting Medica to visit the Australian stand and to meet with Australian mission participants during the show.
  • Promotion of participants on the Australia Stand through email, local press publication and newsletters in the health and medical sectors.
  • Providing general advice to Australian exhibitors about opportunities in their markets.
  • Interpreting and translation assistance on-site.

  • Identification and contacting of potential business partners and arranging of appointments for those Medica exhibitors who intend to extend their stay in Europe before or after the trade fair.
  • Detailed and researched market reports (created or purchased on behalf of client)
  • Quick Credit Check facility of potential trade partners
  • Assistance in post-fair follow up, contacting potential importers/distributors on behalf of the Australian company.
